Terms and Conditions of Venue Bookings and Venue Usage

By using the Education City app to book a venue or access venue services, you agree to abide by these terms and conditions.

Booking Process:

• Venue bookings made through the app are subject to availability and confirmation by the venue management.

• A booking deposit or full payment may be required at the time of booking to secure the reservation.

• No person may book a facility in another person's name.

• Users must present their EC App booking QR code and Qatar ID for accessing the facility at the reception prior to using the facility.

Purpose of Use:

• The venue is to be used solely for the purpose specified under the venue details. Any other use must be approved by the venue management in advance.

Reservation Changes:

• Changes to the booking date, time, or other details may be permitted subject to availability and approval by the venue management.

• Any changes must be requested via email and confirmed by the venue.

Cancellation and Refund Policy:

• The venue operates under a strict no-cancellation refund policy, except in cases of medical emergencies.

• Cancellations must be made in writing and accompanied by appropriate documentation supporting the medical reason for the cancellation.

• Medical documentation may include a doctor's note, medical certificate, or other proof of the participant's inability to attend to the booking [HA1] due to medical reasons.

• Refunds granted for medical reasons are non-transferable and may only be issued to the original user named in the booking.

• The venue reserves the right to cancel a booking under certain circumstances, including but not limited to:

• Unforeseen circumstances beyond the venue's control, such as natural disasters, inclement weather, or emergencies.

• Technical or logistical issues that prevent the venue from accommodating the booking as planned.

• Violation of venue policies or terms and conditions by the organizer or participants.

• If the venue cancels a booking, the user may be entitled to a refund of any fees or deposits paid, or the option to reschedule the activity / event for a later date, subject to availability.

• The venue will not be liable for any additional costs or damages incurred by the organizer as a result of the cancellation. 

Use of Facilities:

• Users must comply with all rules, regulations, and instructions provided by the venue management during their use of the facilities.

• Any damage to the venue or its property during the booking period is the responsibility of the user and may result in additional charges.

• Personal stereos and ghetto blasters are not allowed in the facility except when used for pre-approved recreation programs. Loud games or activities that may cause a disturbance to others are not permitted.

• Wear proper training attire at all times [t-shirts, shorts/tracksuit, and training shoes) while respecting local customs and dressing norms.

• No dangerous or foul play is allowed in any facility.

• Report injuries or broken equipment firstly to the recreation staff on duty.

• All rubbish must be placed in the provided waste bins.

• Gambling and/or playing cards is prohibited within the facilities.

• Drawing or writing on walls and equipment is forbidden.

• Photography and filming permits should be approved by QF Comms and the building focal point.

Safety, Security and Access:

• ·All users are expected to respect the facilities and the rights of other individuals. Any user who engages in any disorderly conduct, including verbal or physical abuse, is subject to immediate removal and possible loss of privileges.

• Users and their guests are expected to promote a positive recreational environment and behave and dress appropriately. All users are considered equal and cannot be discriminated against because of their sex, age, race, or religion.

• All activities within the QF recreation facilities are on a voluntary participation basis and could carry various degrees of risk of injury or death; the users assume sole responsibility for any associated risks or injury. Certain activities may involve strenuous physical action including, but not limited to, muscle strength, endurance training, and cardiovascular conditioning, and it is everyone's responsibility to be knowledgeable of his/her own physical condition and abilities when partaking in any activity.

• Those with diabetes, heart problems, high/low blood pressure, on prescriptions, or any indication of a serious medical condition should consult their doctor before exercising or using the facility.

• All users and guests are responsible for their personal belongings and the facility staff will not be responsible in case of loss, theft, or damage.

• Users must adhere to any access restrictions or security measures implemented by the venue.

• The venue reserves the right to refuse access to individuals who violate these terms and conditions or pose a security risk to the venue or its patrons.

• Any behavior deemed disruptive or inappropriate by the venue management may result in the immediate termination of the booking and removal from the premises.

Privacy Policy:

• User data collected through the app will be handled in accordance with the app's privacy policy. By using the app, you consent to the collection, use, and disclosure of your personal information as described in the privacy policy. 

Modifications to Terms:

• The venue reserves the right to modify or update these terms and conditions at any time without prior notice. Users are responsible for reviewing the terms periodically for changes.

Liability and Insurance

• All users are required to accept and sign the following terms and conditions for utilizing Qatar Foundation recreational facilities and/or registering with Qatar Foundation events, activities, and classes.

• I understand that participating in any competition or using exercise equipment involves a risk of serious injury, and I am solely responsible to ensure that I have the necessary experience and ability. 

• I acknowledge that by signing this disclaimer, I hold Qatar Foundation harmless from any liability arising from any injury or accident that may be incurred by myself as a participant. QF personnel will not be held responsible for any harm that may occur to me/my child without the fault of QF management and activity supervisors.

• I understand that any instructions given to me by QF designated staff are for my safety and I agree to follow these instructions.

• I understand that QF will make decisions solely based on information I provide regarding any disability or pre-existing medical condition validated by a registered medical practitioner in the State of Qatar. QF will not be held responsible for decisions made based on undisclosed medical information.

• I understand that QF does not assume any responsibility to provide me with financial or other assistance, including -but not limited- to health, disability, or life insurance benefit, or insurance of any nature.

• I am responsible for all my personal items and QF will not be liable for loss or damage to those items.

• I must always be respectful and polite to facility staff members; any misbehavior will not be tolerated.

• I confirm that I will adhere to QF health and safety policies and protocols.

• I understand that if I am unsuccessful in complying with the instructions mentioned above, QF shall have the right to require that I leave its facilities.

• I hereby give my consent to the processing of my personal data by QF for the purposes specified above, which will be processed by QF in accordance with Law 13 of 2016 (Data Privacy and Protection Law).

Emergency Procedures and Responsibilities

By signing this waiver, you acknowledge and agree to the following:

• Emergency Contact: In case of an emergency, the emergency number is 999. This number should be used for ambulance services and other urgent situations requiring immediate assistance.

• Evacuation Responsibility: In the event of any fire alarm activation or other emergency requiring evacuation, it is the sole responsibility of an individual to promptly and safely evacuate the building. You must follow the designated evacuation routes and procedures without delay to ensure your safety and the safety of others.
